- Diary and Schedule Management:
- Manage and maintain the MD’s calendar, scheduling meetings, appointments, and travel arrangements.
- Proactively identify scheduling conflicts and provide effective solutions.
- Communication Management:
- Screen and manage incoming calls, emails, and correspondence on behalf of the MD.
- Draft, proofread, and edit letters, reports, and other documents as required.
- Meeting Coordination:
- Organize internal and external meetings, prepare agendas, take minutes, and follow up on action points.
- Liaise with clients, stakeholders, and senior management on behalf of the MD.
- Travel and Logistics:
- Coordinate domestic and international travel, including flights, accommodation, visas, and itineraries.
- Administrative Support:
- Handle confidential documents and maintain a well-organized filing system (both digital and paper).
- Process expenses and manage invoicing for the MD.
- Conduct research and compile information as needed for meetings or decision-making.
- Project Support:
- Assist with the execution and monitoring of special projects and initiatives led by the MD.
- Track deadlines, deliverables, and ensure timely progress updates.
- Reporting
- Liaise with the various departments to compile monthly reports
- Submit quarterly reports to GFZA
- Bachelor’s degree in Business Administration, Communications, or a related field.
- Experience supporting C-level executives in a fast-paced corporate environment.
- Knowledge of the Agro industry sector is an advantage.
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar role.
- Excellent verbal and written communication skills.
- French speaking is a big plus.
- High level of discretion, integrity, and professionalism.
- Strong organizational and time-management abilities.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook); familiarity with calendar and project management tools.
- Ability to work independently and prioritize workload effectively.
- Flexibility to adapt to changing schedules and urgent matters
