- As a Finance Assistant, the incumbent will perform a variety of data information gathering, input and manipulation, report generation and dissemination using SAP/VISION. The Finance Assistant will provide SAP/VISION transactions support to users (Programme and Operations Sections), ensuring that all SAP/VISION related transactions are acted upon, reports generated as may be necessary, effective and efficient solutions are provided and incidents and queries on the system appropriately addressed.
- Contribute to effective and efficient Financial Management and implementation of internal controls in the office and periodic review and strengthening of SOPs for transactions.
- Correctly and timely book cases in Service Gateway to the Global Shared Services Centre (GSSC) in line with established SOPs, monitor and follow-up for prompt processing by GSSC within SLA period.
- Process payments generated by the GSSC Electronic Funds Transfer (EFTS) in accordance with the correct signing authorization levels for collection and submit the signed Transfer letter to the Bank for processing. Inform Program colleagues of transfer of funds to IPs and vendors as soon as payment is processed by the bank.
- Monitor on daily basis, payments and the bank statement to ensure transfers duly processed.
- Review payment requests ensuring all supporting documentation and relevant information provided for processing comply with UNICEF policies, processes, procedures and regulations.
- Promptly respond/answer to telephonic/email/walk-in requests/queries in relation to transactions handled by the GSSC and provide trouble shooting solutions as required.
- Support orientation of new staff members and conduct refresher sessions to ensure quality submission of all categories of service requests to the GSSC.
- Liaise with other business partners on resolution of common incidents/issues related to payments, track and monitor the incident throughout its lifecycle, including verification and closure.
- Promptly deposit all monies received on behalf of UNICEF into UNICEF bank account and issue receipt.
- Maintain office Petty Cash in accordance with office policy and prepare periodic reports as necessary.
- Keep up-to date file on all financial transactions including DCT Advance Payment, Liquidation, petty cash and all internal and external correspondence.
- Support to Conduct Spot Check and Capacity building of Implementing Partners.
- Perform monthly and yearly closure activities.
- Maintain contacts with local banks to clarify questions pertaining to office bank accounts
- Perform other duties, as required.
- Education: Completion of secondary education, preferably supplemented by university degree in accounting/finance or professional certificate in accounting or finance.
- A minimum of 5 years of progressively responsible Finance support plus clerical work experience is required.
- A bachelor's degree from a recognized academic institution in one of the above fields may replace three years of related work experience. A master's degree may replace an additional two years.
- Language Requirements: Fluency in English and in the local language of the duty station required.
- Developing country work experience and/or familiarity with emergency.
