JOB SUMMARY
To provide administrative and HR support to ensure efficient office operations and effective delivery of People and Culture processes.PRIMARY RESPONSIBILITIES
  • Support HR processes and employee lifecycle management, including recruitment coordination, onboarding, documentation, and staff records management to ensure timely and compliant HR operations. (30%)
  • Provide administrative and office support services, including coordinating meetings, maintaining filing systems, supporting project documentation, managing petty cash, and responding to staff inquiries to ensure smooth office functioning. (30%)
  • Manage country office store inventory (10%)
  • Manage office assets and inventory systems, ensuring accurate records, proper storage, maintenance, and tracking of equipment and documentation. (25%)
  • Performs other duties as assigned (5%)
CONTACTS/KEY RELATIONSHIPS
  • Internal: Work closely with P&C Specialist, Program Manager, CO Finance, Drivers, Project staff
  • External: Liaise with vendors, contractors, consultants, ministries and service providers
Required Skills or ExperienceMINIMUM QUALIFICATIONS (Required):
  • Diploma in Business Administration, Office Management, HR, or related field or a related field.
  • Minimum 2 years’ experience in office administration, preferably in an NGO/INGO
  • Experience supporting HR processes and office operations
  • Proficiency in MS Office (Word, Excel, PowerPoint)
  • Basic financial and record-keeping skills
  • Ability to manage multiple priorities simultaneously.
  • Fluency in written and spoken English and relevant local languages.
