As the first point of contact for the company, the Front Desk Officer plays a key role in upholding our professional image and ensuring smooth communication and coordination in the office.Job Purpose
To manage the reception area and serve as the initial contact for visitors, clients, vendors, and staff. Responsibilities include front office operations, communication management, administrative support, and maintaining a welcoming and professional environment.Key Responsibilities
Reception & Client Interaction
- Greet and log visitors, confirm appointments, and direct them appropriately.
- Maintain a neat, organized, and professional reception area.
- Handle phone calls, emails, and general inquiries promptly and courteously.
- Keep accurate visitor logs and enforce guest security procedures.
- Manage incoming/outgoing correspondence and distribute to relevant personnel.
- Assist with filing, photocopying, scanning, and record-keeping.
- Support meeting arrangements and logistics.
- Monitor inventory of front desk materials and assist with basic procurement tasks.
- Oversee front office supplies and request reorders as needed.
- Manage courier services and document dispatch.
- Assist with report collation, binding, and packaging.
- Report maintenance issues in the reception area promptly.
- Maintain a courteous and professional tone at all times.
- Handle sensitive information with confidentiality.
- Support company branding through excellent service and decorum.
- Assist with event and training logistics as needed.
- HND or Bachelor’s Degree in Business Administration, Secretarial Studies, Office Management, or related field.
- 2-4 years of experience in a front desk or receptionist role, preferably in a corporate or consulting environment.
- Prior experience in an engineering, construction, or consulting firm is an advantage.
- Friendly and professional demeanor.
- Strong verbal and written communication skills
- Excellent organizational and multitasking ability
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
- Confidentiality, professionalism, and integrity
- Attention to detail, time management, and initiative
- Customer service orientation
- Full-time, on-site at DELIN CONSULT LTD Head Office in Accra
- Working hours: Monday-Friday, 8:00 a.m. - 5:00 p.m.
- Occasional extended hours during project deadlines or events
