- The Administrator – Engineering is accountable for supporting the technical teams and Engineering management through efficient administrative systems, coordination, workflows and be the connective tissue among the various sections and other stakeholders.
- This inevitably results in meeting of set goals and higher productivity, thus leading to the growth of the business.
- The role holder will provide efficient and responsive administrative, organizational and logistic support to the Engineering Department.
- The Administrator – Engineering executes jobs in accordance with and ensuring compliance with LI2182, safely, and in accordance with other compliance requirements, operational and standards, systems and procedures in a sustainable cost-effective manner and minimize operational risks in order to meet the business' strategic objective.
- Assess risks for all tasks and ensure they are controlled before and during task execution.
- Report all incidents and ensure they have been investigated and corrective actions completed on time.
- Act on all corrective actions assigned to you or under your jurisdiction and ensure timely completion.
- Demonstrate safety behaviour consistent with AGAG's vision and values.
- Adhere to site's Environmental Management Plan.
- Gather information for the Senior Manager – Engineering for reporting performance
- Using AGA's How we Work guidelines, work with the define roles and accountabilities of the role.
- Attend training, development and performance improvement training as required.
- Assist with budgeting, planning, scheduling and work management
- Recognize any performance anomalies that would indicate requirements for execution and report same or escalate.
- Document all activities carried out as required.
- Carry out work cost effectively.
- Execute work in a timely manner.
- Attend training, development and performance improvement training as required.
- Take proactive measures to register, eliminate and escalate symptoms of potential incidents.
- Report directly to the Senior Manager - Engineering on issues identified.
- Stop work/ activities if there exists a high risk or unsafe condition.
- Develop concise daily, weekly and monthly reporting metrics to share with Senior Manager - Engineering, Executive Management, and Department Managers.
- Able to perform effective communication with managers, travellers, and other stakeholders.
- Strong administrative and coordination skills, troubleshooting skills with an effective customer-service orientation.
- Responsible for all aspects of front desk duty including answering phone, dispensing messages, greeting and directing visitors/ travellers to their appropriate locations. Handling all travel logistics and documentation
- Interface with Contractors as directed and/or Engineering/Maintenance teams especially on planned works that support the overall schedule and expectations.
- Mediate, resolve conflict and take corrective action when needed.
- Conduct and coordinate meetings, workshops, etc through effective Public speaking abilities
- Perform complex analysis and work independently while exercising good judgment and discretion.
- Adapt to and assist with organizational and situational changes
- Demonstrate effective time management skills and the ability to manage multiple tasks with changing priorities.
- Manage highly sensitive and confidential information with poise, tact and diplomacy
- Monitoring Queues on Phones & emails, preparing and circulating agenda for meetings, itinerary for visits, taking minutes of meetings
- Schedule meetings, manage calendars and facilitate communication between engineering team and other departments
- Ensure Engineering processes align with industry standards, and AGA policies
- Prepare reports, dashboards, and performance metrics to support decision making
- Identify inefficiencies and propose improvements to workflows and document systems
- Identify, communicate, and escalate potential cost reduction initiatives to the Supervisor
- Propose cost savings projects.
- Take proactive measures to register and escalate symptoms of potential risk/failure to Supervisor
- Bachelor's degree in engineering / business administration / management studies / applied science / management / social science, or related field.
- A Master’s degree can be an added advantage.
- Project Management Professional (PMP) or similar certification can be added advantage
- Certified Administrative Professional (CAP) can be beneficial.
- Three to Five (3-5) years of experience in an administrative role or relevant field, preferably within an engineering or technical environment.
- Experience in project coordination and team management
- MINCOM certification will be an added advantage
- Technical Skills: Understanding of engineering principles and terminology.
- Administrative Skills: Proficiency in office management, scheduling, and administrative support.
- Communication Skills: Excellent verbal and written communication.
- Organizational Skills: Strong ability to manage multiple tasks and projects.
- Software Proficiency: Familiarity with engineering software (e.g., VISIO, AutoCAD) and office software (e.g., MS Office Suite).
