We also offer a graduate course program in Mechatronics. Our faculty are avid researchers in the areas of sustainable energy, IoT integration and mechatronics application in health and agriculture. The Engineering Department seeks to educate ethical innovative leaders who have mastery of engineering design and apply them to real life projects. The Biological Engineering program is a bridge with the other engineering programs by engaging in interdisciplinary projects with different faculty from the department. The Department values authentic assessments and active learning to prepare students for real-world challenges in biological engineering and related fields.About the Role:We seek a highly organized and meticulous Administrative Coordinator to support the Engineering Department's diverse programs. The Coordinator will manage operations, coordinate schedules, and assist faculty and students in a dynamic setting where quick thinking and adaptability are key. If you thrive in fast-paced environments and excel at juggling priorities, this is your opportunity to contribute to transformative engineering education.Role Responsibility:The Department Coordinator will be responsible for the following but not limited to:Administrative Duties:
  • Serve as an administrator to the Engineering Department: Coordinate multiple departmental programs and activities including scheduling meetings, recruitments, events and securing an ensuring availability of logistics for seamless execution amid competing demands.
  • Manage administrative tasks including documentation, procurement, budgeting support, and record-keeping with meticulous attention to detail.
  • Serve as the first point of contact for faculty, staff, students, and external partners, leveraging strong people skills to resolve issues efficiently.
  • Support program delivery through critical problem-solving, rapid learning of new tools/systems, and proactive multitasking.
  • Track deadlines, prioritize tasks, and generate reports to keep operations running smoothly in our high-energy environment.
  • Assist with management and support of Engineering department equipment
Capstone-Related Duties - Support with Capstone management
  • Coordinate all student capstone projects and seminars: applied projects, and thesis.
  • Ensure the timely submission of capstone projects to supervisors, document reviews and manage final printing and submission of documents to the department and the Ashesi library.
External and Internal Stakeholder Management
  • Coordinate all relevant correspondence between the department and internal and external stakeholders and regulatory bodies and agencies such as the GTEC.
  • Support document collation and preparation towards reaccreditation cycles.
Faculty Intern/Research Assistant Duties
  • Provide administrative support for faculty research in the department.
  • Provide assistance to course instructors with the teaching of assigned courses to students.
  • Meet with students individually and/or in small groups to ensure graduation requirement compliance.
Qualifications and Skills
  • Bachelor’s degree in Business Administration, Engineering, or a related field. Candidates with equivalent experience may be considered.
  • At least 2 years of administrative experience, ideally in academia or engineering contexts.
  • Proficiency in Microsoft Office Suite, Google Workspace, and basic project management tools; experience with university systems a plus.
  • Proven organizational abilities, with excellent time‑management skills, strong multitasking capability, and a high level of attention to detail in a fast‑paced environment.
  • Outstanding interpersonal and communication skills with a people-oriented approach.
  • Strong critical thinking and ability to learn new processes or software quickly.
  • Excellent written and verbal communication.
